Role Overview

We are hiring a highly capable, proactive Executive Assistant (EA) to support our CEO and Executive Leadership Team in the US. This is a high-trust, high-impact role that blends executive support, governance coordination, office operations, interview coordination, event delivery, and light people-project support.

The EA will sit at the center of the business, enabling leadership effectiveness, ensuring a strong executive governance cadence, and delivering a polished, professional experience for executives, candidates, clients, and internal teams.

Key Responsibilities

Executive & Leadership Support

  • Provide comprehensive day-to-day support to the CEO and Executive Leadership Team.
  • Manage complex calendars, priorities, and meeting schedules across multiple time zones.
  • Coordinate domestic and international travel, including flights, accommodation, itineraries, and changes.
  • Assist with preparation of leadership meetings, including agendas, briefing notes, and presentation decks.
  • Act as a trusted gatekeeper and liaison for internal and external stakeholders.
  • Support onboarding logistics for senior hires, including access, equipment, travel perks, and welcome packs.
  • Act as the POC for the New York storage space.
  • Assist with coordinating with TriNet for State Tax registration and Tax payments.
  • Assist with US benefits.
  • Assist with Employee Onboarding.

Executive Governance & Leadership Cadence

  • Own and maintain the Executive Governance Calendar, ensuring clear visibility and coordination of:
  • Board meetings and Board-related sessions
  • Executive Leadership Team (ELT) meetings
  • Strategic planning sessions and leadership offsites
  • Key governance milestones and decision forums
  • Work closely with the CEO, HR Director, and Finance leadership to ensure governance events are scheduled, prepared for, and followed through.
  • Coordinate logistics for governance meetings, including calendars, meeting rooms, video links, travel, and materials.
  • Track upcoming governance deadlines and prompt stakeholders on preparation requirements.
  • Support organization and distribution of governance materials where required.

Office & Facilities Management (New York)

  • Manage office access, including securing and administering building passes.
  • Oversee the experience for office visitors, clients, and partners at 601 Lexington Avenue.
  • Coordinate conference room bookings, meeting setups, catering, and AV requirements.
  • Manage New York office storage, inventory, supplies, and equipment.
  • Act as primary point of contact with building management and office vendors.
  • Ensure the office environment consistently reflects LemonEdge’s brand, culture, and professionalism.

Events & Client Engagement Support

  • Support the Head of Marketing in delivering US-based prospect and customer events.
  • Assist with event planning, logistics, venue coordination, attendee management, and on-the-day execution.
  • Work with Marketing and Directors to support a structured plan for C-suite client engagement, including executive briefings and hosted sessions.
  • Coordinate leadership participation at industry events, conferences, and client meetings.
  • Ensure all events and engagements are executed to a high standard and aligned with the LemonEdge brand.

Merchandise, Gifting & Client Touchpoints

  • Manage US-based merchandise and gifting for new clients, existing clients, and prospects.
  • Maintain merchandise inventory and oversee storage, packing, and distribution.
  • Coordinate client gifting aligned to sales cycles, onboarding milestones, events, and relationship-building initiatives.
  • Partner with Marketing and Sales to ensure gifting is timely, consistent, and on-brand.

Internal Coordination & Executive Operations

  • Act as a connective point between Executive Leadership, Marketing, Sales, HR, and Operations.
  • Support internal leadership meetings, offsites, and company events hosted in New York or London.
  • Assist with internal communications, leadership presentations, and executive-facing materials.
  • Ensure smooth coordination of logistics that enable executive priorities and company-wide initiatives.

Interview Coordination, Hiring & People Project Support

  • Coordinate and schedule interviews across the US and global teams, including multi-stage and panel processes.
  • Act as a point of contact for candidates, ensuring a smooth, professional interview experience.
  • Manage interview logistics including calendars, meeting rooms, video links, and interviewer coordination.
  • Partner with HR and hiring managers to keep recruitment processes running efficiently and on schedule.
  • Support onboarding logistics, leadership onboarding, offsites, and internal people events as required.
  • Handle sensitive people-related activity with discretion, professionalism, and sound judgment.

Ideal Candidate Profile

Experience

  • 5+ years’ experience as an Executive Assistant or Office Manager supporting senior leaders.
  • Experience supporting C-suite executives in a fast-paced, high-growth environment (SaaS, FinTech, or professional services preferred).
  • Proven experience coordinating governance meetings, interviews, travel, events, and complex logistics.

Skills & Attributes
